MBAA Officer Descriptions

President:  The President is the facilitator, the communicator, the diplomat, and the collective representation of the MBA Association.  The President coordinates and monitors all other officers’ efforts for the programs that the MBAA offers its members.  The President is also the primary contact for the entire administration, including: The MBA Program Office, The Office of the Dean, Graduate Business Career Services, The Director of Masters Programs in the Mays School, etc.  He/she schedules all meetings with the Director of the MBA Program/Director of Masters Programs at Mays, meetings with the officers only, and finally, meetings with members of the MBAA.  The President is also asked to speak to alumni groups on behalf of the Program Office, and the Office of the Dean.  Additionally, the President is required to attend receptions/lunches/dinners upon invitation from differing administrations.  The President also facilitates finding other officers to attend these events as needed.  Since 2004, the President’s role has also involved organizing, planning, and communicating all aspects of the Warren Buffett trip.

VP – External:  The VP-External’s role historically was to coordinate outside speakers to address members of the MBAA on a variety of topics.  However, that role is changing, to accommodate more professional opportunities for the MBAA.  The new “sponsored tailgate” initiative of the MBAA is a critical component to this role in which the VP – External must be responsible for contact companies directly in order to secure funding and recruiters for these events.  The VP – External is responsible for securing these sponsorships and building all professional opportunities of the MBA. This also means coordinating with Kristin Cooper (MBA Alumni Relations Director) the MBA Program office, GBCS, and the Dean’s Office to find companies, alumni, and friends of the Mays MBA Program who would be interested in meeting and networking with the current MBAA membership

VP – Internal:  The main responsibility of the Internal Vice-President is to facilitate the ordering of books and reading packets for MBAA member’s required classes.  This entails contacting the professors well in advance of the next term in the MBA program to determine which books will be required for class.  The VP-Internal must gather all of the appropriate data describing the required books to ensure that the correct books are in fact ordered.  This material includes: Title, Authors, Edition, Publisher, and ISBN #.  The VP-Internal must find booksellers with the lowest prices for the books so that MBAA members can receive discounted prices and reliable delivery.  The cost savings are generated due to bulk ordering and market research.  The VP-Internal is not always able to receive discounted prices, but the main service of convenience is always provided.

Executive Secretary:  The Executive Secretary’s role is a new role created in order to assist other officers with their events during the critical time around and during MBAA events.  Of critical importance is the ability to keep records of all minutes and action items that come out of MBAA officer meetings, MBAA general meetings, and any other event that the MBAA participates in or organizes (i.e. minutes of Warren Buffett meeting, ticket pulling lists, Dean’s breakfast, etc.). Additionally, the Executive Secretary should be able to assist the VP – Internal with the book ordering and business card process.  Ultimately, this job represents the single most important support function for all other MBAA officers.

VP – International:  The VP-International is responsible for providing an international mindset to all issues faced by the MBAA, i.e. he/she is the representative of the international MBA students in all discussions, and meetings of the MBAA.  He/she participates in the regularly scheduled meetings between the MBAA officers and the MBA Program Office, and he/she attends various functions when requested by the MBA Program Office or the MBAA President. He/she organizes and schedules the country-presentations and provides the presenters with any assistance they require. For all tasks he/she stays in close communication with the MBAA President.  Recently, the VP – International also heads the International Dinner, a pot-luck supper event in which the international students of the MBA program have the opportunity to showcase their own culture and cuisine. This event is organized with the idea of getting families more involved in the MBA program.

VP – Social: VP-Social is responsible for organizing weekly Happy Hours and social events decided upon by the MBAA officers.  Typical events include Happy Hours, tailgates, after finals events, occasional parties, and aiding in MBA SHOC events.  Additionally, the VP - Social has the responsibility of coordinating, organizing, planning, and scheduling the MBAA Follies.  MBAA Follies is a series of skits and auctions that encourage class interaction, fun, and monetary support for the MBA SHOC.

VP – Finance:  The VP-Finance’s official role is to act as treasurer for the organization.  This responsibility includes managing the banking affairs, keeping track of the organization’s use of funds, informing the other officers of the availability of funds in the organization, and submitting payment to vendors that the MBAA works with.  The banking responsibilities include making deposits, writing checks and reviewing bank statements for accuracy.  Another role is to keep track of how funds are being used within the organization, and to communicate to the President and other officers how funds are being used.  This entails keeping a general ledger and periodically rolling up expenses into a cash flow statement (this is a chance to put your McAnally skills to work).  Finally, the job requires working with vendors, such as book dealers and the printing companies to make payments for the services that we provide.

VP – Technology:  The VP of Technology is in charge of the MBAA website.  Currently, the MBAA does indeed have a running website; however, the links and material need to be added.  The website should become a means used to distribute MBAA information as well as be helpful to the MBA student body.  An attempt should be made to keep cohorts current on social and administrative issues.  As primary content manager, the VP - Technology is responsible for writing stories about MBA students and administration.
